Rental agreement for snowmobiles and sledges

The general conditions specified in the order confirmation apply to the rental agreement.

1. Renter must be at least 18 and a valid driver’s license for all drivers for a car, snowmobile or motorcycle must be presented at the reception desk prior to rental of the snowmobile.


2. Snowmobile must not be used:
a. By persons affected by alcohol or other intoxicating agents.
b. For any illegal activities.


3. The renter must not:
a. Carry more persons than the snowmobile is approved for.
b. Loan the snowmobile to others without Svalbard Adventures consent.


4. For all rentals from Svalbard Adventures, the renter is responsible for the recovery of the rented equipment. If the renter, for any reason, has to leave equipment in the field a fee of 50 NOK per kilometre will be charged for pickup.


5. In the event of an accident
a. Notify the Governor’s office (+47 79 02 12 22) when required.
b. Svalbard Adventures rental department must be notified immediately.
c. If it is necessary to leave the snowmobile behind, do so in a responsible manner.
d. A form needs to be filled out at the rental reception and a map or GPS coordinate of where the snowmobile was left should be attached.


6. Renters must cover the cost of gasoline used during the rental period. The snowmobiles are rented out fully fuelled and should be returned fully fuelled. The fuel meters in snowmobiles are not accurate, in order to fill them up completely one needs to look down into the tank and fill them up to the lid. If a snowmobile is not returned fully fuelled the renter is charged 20 NOK per liter. If Svalbard Adventures needs to send an invoice to the renter, an invoice fee of 70 NOK will be added to the amount.


7. Renters are required to return the snowmobile before 18:00 at Svalbard Snowmobile Rental
a. In case of late delivery there will be a fee of 150 NOK per hour per snowmobile.
b. If the snowmobile is not returned before closing, one additional 24hr rental fee will be charged.


8. Renter assumes all responsibility for the snowmobile. Regardless of fault, the renter is liable for any damage caused to the snowmobile or by the snowmobile during the rental period; the price is limited to the amount specified in the current price list.
Insurance: NOK 175 per snowmobile per day.
When purchasing insurance the Excess/maximum amount to pay in case of damage to the snowmobile is:
· Touring NOK 10.000.-
· Sport and Guide Touring: 15.000.-


9. The renter is in all cases liable for any damages not covered by the insurance.


10. The renter is responsible for acquiring information on all aspects of the handling of the snowmobile and the relevant functions of the snowmobile before renting.


11. Svalbard Adventures is not liable for any loss or time loss that the renter may incur by the breakdown of the snowmobile.
12. The renter is responsible to check the snowmobile for damages before he/she drives away with it. In the case of damages (no matter how small they are) it needs to be registered on the damage report note at the reception to avoid getting billed for minor or major damages which have not occurred during the rental time.


13. For rental of sledges:
a. Maximum permitted load: 160 kg
b. Total weight on the towing hook should not be more than 10 kgs and can be easily possible to lift with one hand.
c. If the sledge is wrongly loaded and/or these limitations are exceeded and damage to the sledge occurs, the Renter will be charged for the damage.


14. For rental of Lynx Adventure/ Skidoo Renegade:
a. Warm up the engine in about 4-5 minutes.
b. Do not drive while holding the break, this can seriously burn the scooter.
c. In cases that the snowmobile won’t start, check the key and make sure that it is securely in place. D.E.S.S indicates that the key is loose or not proper in place.
d. The rear rack can only hold up to 15kgs.
e. The Skidoo Renegade must be turned off when a person stops driving, it doesn’t have the cooling fan so over heating is highly probable.
f. It is advisable (Skidoo Renegade) to attached the key cord to the wrist/ to oneself so the snowmobile would stop immediately in cases of fall/accidents.


15. For rental of Guide Touring:
a. Warm up the engine in about 4-5 minutes.
b. The rear rack should only hold no more than 10 kgs.
c. The engine must be turned off when a person stops driving. It has a cooling fan but also a sensitive engine so over heating is still highly probable.
d. To maintain proper cooling, it is advisable to drive it on a good terrain condition with a speed not lower than 40 km/h.
e. Make sure that the kill switch (red button) is on when the snowmobile is parked over a long period.

Snowmobiles are an excellent instrument to use for enjoying the beautiful nature in Svalbard, however they are powerful and expensive machines and if used irresponsibly they can be dangerous. We urge people to drive safely, stay within their driving ability and become versed in all rules that may apply for driving and travelling in Svalbard (The governor’s office in Longyearbyen supplies people with all information needed for responsible travel in Svalbard).
